CALENDAR AND SCHEDULE MANAGEMENT
As part of my Executive Virtual Assistant training, I completed a mock activity where I organized a CEO’s schedule using Google Calendar and Calendly. I carefully reviewed all appointments, set accurate time details, and applied a clear color-coding system to distinguish priorities and meeting types. I also configured Calendly settings to prevent conflicts, added buffer times, and ensured all bookings synced correctly with the calendar. This exercise demonstrated my strong attention to detail, reliability, and ability to manage an executive’s schedule efficiently. Successfully plotting these events highlights my capability to maintain an organized, error-free calendar that supports smooth operations and maximizes productivity.

E-MAIL AND INBOX MANAGEMENT
I completed a mock activity focused on organizing a Gmail inbox for maximum efficiency. I started by sorting and categorizing all emails, creating clear labels and applying color codes based on urgency, importance, and type of correspondence. Using filters and rules, I automated the flow of incoming messages to ensure priority emails were highlighted and low-importance emails were properly grouped. This process demonstrated my ability to maintain a clean, well-structured inbox that supports fast decision-making and reduces the risk of missed messages. Effective inbox management is essential for any executive, and this activity highlighted my readiness to handle communication flow with precision, confidentiality, and proactive organization.

TRAVEL MANAGEMENT
A. Flight Booking
I managed the round trip travel for a start-up CEO. Using platforms like Booking.com, I secured a non-stop, Business/First Class round trip (Nashville-Denver) based explicitly on the client's preference for optimal comfort and productivity. The booking required meticulous attention to detail on flight times and involved accurately processing the payment, highlighting my ability to handle both complex itinerary coordination and secure financial transactions. This experience proves my capability in proactive executive support, strict adherence to client requirements, and error-free financial and logistical management.


B. Hotel Booking
Based on the client's preference and requests (Denver, Dec 15-17, Very Good 8+ reviews, and budget), I booked and selected the Hampton Inn & Suites Denver Downtown Convention Center. I secured the reservation by confirming the client-preferred King Studio Suite with City View - Non-Smoking, and executing the US$278 payment. This shows that the client's detailed preferences were seamlessly translated into an accurate, confirmed booking, ensuring the room choice met their specific request without needing their direct involvement. In addition, I also safely managed the client's personal and payment details to secure the reservation efficiently.




C. Ground Transportation Booking (via UBER)
Through Uber, I executed two priority bookings using the client's preferred premium service: the Black SUV. I ensured a consistent, high-end travel experience by adhering to the Black SUV preference for premium comfort, and implementing proactive scheduling (early arrival at both the airport and hotel) to guarantee smooth, delay-free travel for the executive.


D. Lunch/Meeting Facilitation
I created a critical calendar event, "Business Lunch with Alex Karp, CEO of Palantir Technologies," scheduled for Dec 16, 2025, 11:00 AM–1:00 PM at the Palantir Technologies HQ in Denver. The Google Meet link for the remote/online aspect was specified, and invitations to all required guests were sent immediately. This shows my precision in coordinating and communicating a high-value client engagement, ensuring all logistical details (date, time, location/link, and attendee invitations) were handled flawlessly and instantly.

E. Table Reservation
I booked a high-priority dinner reservation based on the client's preference for steak and seafood cuisine. I chose the Ocean Prime - Denver - Larimer Square restaurant, which is Highest Rated and specializes in Seafood/Steak. A table was secured for 2 people (dinner with a friend) on Tuesday, December 16, at 6:00 PM (High Top + Blu Lounge). This task demonstrated efficiency in quickly filtering and selecting a high-end restaurant that perfectly matched the client's specific culinary preference and ensured a seamless booking process for a key personal/social engagement.



F. Travel Itinerary
I compiled a comprehensive two-day itinerary for the CEO, Ms. Catherine Moore's business trip to Denver, CO (Dec 15–17, 2025). I ensured all complex logistics such as flights, premium transport, premium accommodation, and critical meetings/reservations, were perfectly synchronized and documented for a smooth, high-efficiency trip.

PREPARATION OF MINUTES OF MEETING
In my previous employment in the government, I was tasked to spearhead the meeting/conference management of one our sub-committees. I was tasked to oversee the preparation and on-the-day needs of the meetings. One of my major tasks was the preparation of the minutes of meeting, which sometimes includes transcription from audio recordings.
