⭕ Loan Processing & Documentation
Encode new accounts/cases into the Financial Accounting System (FAS) accurately and efficiently. Check commencement documents to verify completeness and compliance with company policies. Prepare Electronic Proposals for loan applications. Assist clients with the contract signing of loan documents, ensuring all necessary paperwork is completed. Prepare loan documents for commencement and ensure timely submission. Apply pre-term for refinance accounts as needed.
Resubmit, amend accounts, and upload any lacking requirements to FAS.
⭕ Financial Transactions & Payment Processing
Prepare and process pull-out and replacement cheques for clients. Print and organize Post-Dated Cheques (PDCs) for record-keeping. Process loan disbursements and coordinate special funding requests. Retrieve and deposit dealer’s checks, ensuring timely transactions. Assist clients regarding lump sum replacements and financial adjustments.
⭕ Monitoring & Reporting
Regularly update and track website-submitted accounts, ensuring accurate reporting on account statuses. Conduct GPS provider monitoring and send email requests for GPS installations.
⭕ Dealer & Client Coordination
Send email requests for dealer activation, accreditation, and extension. Request and validate Vehicle Registration Forms (VRF) and Payment Request Forms (PRF).
⭕ Administrative & Meeting Support
Send minutes of meetings, ensuring proper documentation and follow-ups. Prepare the meeting room for scheduled meetings and conferences. Perform other tasks assigned by superiors to support business operations.
⭕ Executive Assistance:
Provide direct support to the company president, assisting with scheduling, document management, and communication. Offer administrative support to sales agents, helping them stay organized and focused on key tasks. *
⭕Document Preparation for Importation:
Prepare the necessary documentation for the importation process, ensuring all paperwork is complete and accurate. Work closely with freight forwarders to ensure smooth and timely transactions and deliveries.
⭕Purchase Order Management:
Generate purchase orders for both local and foreign suppliers to meet the company’s procurement needs. Ensure accuracy in purchase orders, track orders, and resolve any discrepancies promptly.
⭕Sales Agent Support:
Assist sales agents by handling client interactions when they are in the field, ensuring seamless communication and service. Manage customer inquiries and provide timely follow-up to maintain a positive client experience.
⭕ Daily Reports and Collection Tracking:
Prepare daily sales reports, ensuring all collections are accurately recorded and tracked. Monitor and report any discrepancies or issues in the daily financial operations.
⭕ Business Transaction Documentation:
Handle the preparation of various transaction documents, including sales invoices, delivery receipts, official receipts, and other important business documentation. Ensure all documentation is accurate, properly formatted, and complies with company policies.
⭕Payment Handling:
Oversee cash and check payments from walk-in clients, ensuring all transactions are recorded accurately. Maintain a high level of accuracy in managing cash flow and balancing daily payments.
⭕Document Filing and Organization
Responsible for maintaining the completeness and organization of the company’s documents. Implement effective filing systems to ensure easy retrieval and secure storage of records.
⭕ Sales Reporting
Prepare monthly sales reports, consolidating sales data, analyzing performance, and providing actionable insights.
⭕ Financial Transactions & Accounting Support
Perform daily financial transactions, including computing, posting, and recording accounts receivables. Prepare and process financial documents such as Sales Invoices, Delivery Receipts (DRs), Official Receipts (ORs), transmittals, vouchers, check payments, and bank deposits. Process utility bills and other account payables, ensuring timely and accurate payments. Prepare monthly reports on sales & collections, purchases, and expenses for financial tracking and decision-making. Conduct daily follow-ups with clients for collection, ensuring timely payments and reducing outstanding balances.
⭕ Inventory & Procurement Monitoring
Assist in monitoring product inventory lists, ensuring accurate stock levels and timely replenishment. Coordinate with relevant departments to track purchases and expenses for better inventory control.
⭕ Administrative & Client Support
Respond to telephone and email inquiries in a professional and timely manner. Answer and transfer phone calls to the appropriate person, ensuring effective communication within the organization.
