This email sample demonstrates my ability to communicate professionally with clients and confirm important meetings on behalf of executives. As an Executive Assistant, I ensure that meeting details such as the date, time, and platform are clearly communicated to avoid confusion and maintain smooth coordination. This also shows my attention to detail and my ability to represent the executive in a clear, polite, and professional manner.

TRAVEL MANAGEMENT - BUSINESS TRIP
This portfolio demonstrates how I planned and coordinated a three-day business trip for an executive as part of my Virtual Assistant job. The trip was arranged for Ms. Marie Daclan CEO of Nova Tech Innovations, traveling from Nashville, TN (BNA) to Denver, CO (DEN). The goal of this project was to organize a smooth and well-structured travel experience that supports her busy executive schedule.
As the Virtual Assistant handling the travel planning, I arranged the key details of the trip, including the flight, hotel accommodation, ground transportation, business meetings, and dining reservations. Each part of the itinerary was selected with the executive’s comfort, time efficiency, and professional commitments in mind. I took screenshots were captured throughout the booking steps to show how each arrangement was researched and prepared.
For the flight booking, I used Kayak.com to search for available options from Nashville (BNA) to Denver (DEN) for the travel dates of March 9-11, 2026. I reviewed different flight schedules and selected a non-stop United Airlines economy flight that best matched the executive’s travel timeline. After confirming the flight details and entering the passenger information, I captured a screenshot of the booking page before completing the payment process to document the selection.




HOTEL BOOKING
To find a suitable place for the executive to stay, I used Booking.com to research hotels in Denver that offer a comfortable environment and business-friendly amenities. I applied filters such as 5-star rating and Free Wi-Fi to narrow down the options. After comparing several hotels, I selected The Crawford Hotel in Denver because of its convenient location and professional atmosphere. I entered the necessary booking details and captured screenshots of the reservation page before confirming the booking.




TRANSPORTATION ARRANGEMENT
For airport transportation, I arranged I arranged round-trip rides using Hertz.com. The first ride was scheduled from Denver International Airport to Renaissance Denver Downtown City Center Hotel on upon arrival. The return ride was planned from the hotel back to Denver International Airport on Marc h 11 , 2026 for the departure. Screenshots of the ride details were taken before confirming the bookings to document the process.


MEETING AND SCHEDULE MANAGEMENT
To organize the executive’s schedule during the trip, I created and scheduled meetings using Google Calendar. These included a business lunch with the CEO of Tech Corp, a client presentation, and a strategy meeting with the marketing team. Each event was carefully scheduled with the correct time, location, and notes to make sure the itinerary was clear and easy to follow.

TRAVEL ITINERARY
After completing all the bookings, I gathered the important travel details—including the flight, hotel, transportation, and meeting schedule—and organized them into a professional itinerary. I created the document using Canva and Google Docs, formatting it in a clean and easy-to-read layout. The final version was exported as a PDF so the executive could quickly access all trip details in one place.

Through this travel coordination work, I practiced and demonstrated key Virtual Assistant skills such as executive scheduling, travel research, and attention to detail. By using tools like Kayak.com for flight booking, Booking.com for hotel booking, Hertz.com, Google Calendar, and OpenTable, I organized every part of the trip in a structured and efficient way.
