Scheduling
This project demonstrates my ability to manage and organize a busy executive’s schedule.
I worked with Ms. Marie Daclan, CEO of a growing tech startup, to create a structured weekly calendar, automate client bookings, and ensure smooth communication.
The goal was to build a system that improves productivity and avoids scheduling conflicts.
CALENDAR MANAGEMENT
For calendar management, I primarily use Google Calendar to efficiently organize, track, and manage schedules. I am also adaptable and open to using other scheduling tools based on the client’s preferred system.
In this work, I created a dedicated calendar specifically for the client to ensure a clear separation between personal and professional events. This allows for better organization and prevents scheduling conflicts.
I added key events such as meetings, client consultations, and focused work blocks, ensuring that all details—including dates, times, and descriptions—are accurate and complete.

CALENDLY BOOKING SYSTEM
I set up a Calendly one-on-one booking system titled “Client Consultation with Mr. Doe” to streamline appointment scheduling. The event duration was set to 30 minutes to 1 hour, depending on the client’s needs.
Availability was configured as follows:
• Monday to Thursday: 1:00 PM – 4:00 PM
• Friday: 10:00 AM – 3:00 PM
The meeting location was integrated with Google Meet, allowing automatic generation of a virtual meeting link upon booking.
This system allows clients to easily select a convenient time, after which the meeting is automatically added to Google Calendar. Both the client and the executive receive confirmation details, ensuring a smooth and efficient scheduling process.


MOCK-UP EMAIL
I prepared a professional weekly schedule summary email to keep the executive informed and aligned with upcoming priorities.
Each email is sent at the beginning of the week and includes a clear breakdown of daily activities, such as team meetings, client consultations, personal time, and focused work blocks.
This ensures clear communication, proper preparation, and a smooth workflow, helping the executive stay organized and productive.
